Landlord Portal: Property Statements

The Statements section of the Landlord Portal provides a comprehensive financial overview of your property portfolio. This tool allows you to track every payment received, monitor expenses, review invoices, and download the necessary documentation for your accounting and tax returns.

Filter By Property / All

if you have mutliple properties reported through the landlord portal, the default view shows information for your whole portfolio but you can filter by property.

Cash Flow vs. Income & Expenses

The portal offers two distinct ways to view your financial data. Understanding the difference is essential for accurate reporting and effective cash management.

Cash Flow View

The Cash Flow view tracks actual liquidity—the money that has physically moved in and out of your account with us.

* When to use: To verify cleared funds, monitor distribution payments, or check if a specific bill has been settled. * Money In: Includes cleared rent payments, deposit returns, and refunds. * Money Out: Includes settled maintenance costs, contractor payments, and management fees.

Income & Expenses View

This view records invoices and charges at the point they are raised, regardless of whether the cash has changed hands.

* When to use: To review the full trading performance of your portfolio or provide data for your annual tax return (Accrual basis). * Income: Rent invoices and other charges issued to tenants. * Expenses: Supplier invoices raised against your account.

Key Features of the Statements Section

The portal is organised into five primary tabs to help you navigate your financial data:

1. Cash Flow

A running ledger of all completed transactions. Data points include:
  • Transaction date and description.
  • Associated property.
  • Amount (In/Out) and the resulting running balance.

2. Income & Expenses

A high-level summary of your portfolio’s profitability.
  • Totals for specified periods.
  • Detailed lists of income and expenditure invoices.
  • Total Profit/Loss position.

3. All Payments

A detailed, searchable transaction log.
  • Filtering: Filter by date range, property, category, or amount.
  • Exporting: Download your filtered list as a CSV or Excel file for external analysis.

4. All Invoices

A comprehensive list of every invoice (paid or unpaid). This tab highlights two critical figures:
  • Owed to You: Rent or other funds outstanding from tenants.
  • Owed to Third Parties: Outstanding supplier or contractor invoices awaiting settlement.

5. All Expenses (Document Archive)

This section serves as your digital filing cabinet for all property-related expenditure.
  • View: See full details for every supplier invoice.
  • Download: Select individual PDFs or "Bulk Download" multiple invoices into a single ZIP file.
  • Compliance: Use these records to provide evidence for tax-deductible property expenses.

Tips for Efficient Management

Tax Year Reporting: Use the date range filter to instantly isolate data for the UK tax year.
  • View History: Toggle the "Show all" button at the top of any tab to view your full account history beyond the default recent entries.
  • Accountant Readiness: For a seamless tax return, use the Income & Expenses tab for your summary figures and the All Expenses tab to download your supporting invoice backup.
  • Give Your Accountant Access: If you want your accountant to have access, please create an action item request, including their email address and name and we'll give them access to your landlord portal.
